Program Enhancements

Security Enhancements

  • Encryption is now even stronger. InstaClaim now uses AES-256* every time it closes. When you are logged out, your data files are not able to be accessed by unauthorized persons.
    • * AES is the encryption standard utilized by the United States Government. There are 3 different versions AES-128, AES-192, and AES 256. AES-256 is the strongest. InstaClaim version 4.0 uses AES 256.

  • We have also added a new product registration page. This will enable greater security when assisting our customers by ensuring that we are helping the right person.
  • Password reminder helps you stay HIPAA compliant.  Every 90 days you are reminded to change your password.
     
  • Special encrypted archive file function lets you create a file which can safely and securely be sent to InstaCode Institute for support.

Mark Patients Inactive

  • This highly requested enhancement makes it possible to remove patients from your "active" list of patients on the Main Menu.  This saves time scrolling through names of patients that you haven't seen in awhile.
     
  • Reactivating patients is an easy process too!

Patient Statements Enhanced

  • We heard it was a little tedious running patient statements one patient at a time.  Now you can run Patient Statements for all patients instead of just one.
  • Added semi-colon between names to make it easier to distinquish one patient from another.

Claim Printed Date Report

  • This new report shows when a claim was printed.  This helps you keep track of resubmissions and claims that are outstanding.

Mailing Labels

  • This new report allows printing of patient mailing labels directly on the AveryŽ 5160 labels. While it was possible to print labels before by exporting your patient list and then importing into a word processing program - this makes it MUCH easier.  Simply put the labels in the printer and run the report!

Electronic Claim Batch File Report Updated

  • When there was a long name and account number, it was cut off. This report has been changed to have the name and account numbers in separate columns. If the text that is too long to fit on one line, it will wrap around so you can still read the whole thing.

Code Searching

  • To help you find codes that aren't already in your code list, we added links to Find-A-Code.com to help you find the code you need.  This should help speed up your coding on those less-often used codes.  Please note that you need to be connected to the Internet in order for the link(s) to work.
Account Numbers
  • Upgraded the Account number function to be more helpful to those clients just starting to use an account number. If you go into a claim ([Edit] an existing claim) which does NOT have an account number and then ADD an account number, InstaClaim will ask if you would like to assign this account number to all previous claims for this patient. If you select [Yes], then all claims for that patient will then be assigned that account number. This function cannot be undone, so make sure that you really do want to apply the account number to all claims BEFORE you click [Yes].
  • When you CHANGE an account number on a claim you will be asked if you want to change it for just that claim or all claims.

Electronic Claim Print Reminders
  • Tired of having lots of reminders to print out your electronic batch report?  Now you still get reminded when you haven't printed it out, but not so many times.
Changed Tab Colors
  • All screens which have different "tabbed" sections have been updated so that the 'active' screen is lighter and the 'inactive' screens are darker. This was done to make it easier to see the other tab sections.
Changed Quick Help Color
  • Too many people were missing the Quick Help instructions on the right side of the screen. The new light yellow color makes it easier to see. Many of the billing and coding questions and calls we receive can be answered by simply looking at the Quick Help. It is a great tool to help you complete your 1500 claim form.
Specialty Files to Import
  • A new import option for specialty ASCII files from InstaCode Institute will make it easier to get in your codes entered in InstaClaim. We are starting with diagnosis codes for some specialties. Procedure codes are coming soon.
Backup Function Enhanced
  • This function was completely re-written to make it easier to find a valid backup when something goes wrong on your computer. If you ever have a problem, these features alone are worth the price of the upgrade! It will save a whole lot of headache trying to get back up and running.
    • Backup Notice: Like the daily printer reminder notice, there is a new backup reminder notice. If you do not have backups set to be done automatically and/or your backup location is set to the same folder as your data files.
    • Backup Location Check: If you use an external drive to backup, the program now checks to see if the drive is active before trying to backup. This gives you a chance to plug in or turn on the external drive.
    • Automatic Backups: The auto-local-backup now saves 10 days of backups with up to 10 backups created each day (every time you exit). Before is someone discovered a problem at the end of the day, but they had already done a backup that day, they would have a backup of the incorrect data. Now, if something goes wrong, you have a greater chance of finding a good/valid backup to restore from.
    • Monthly Backup reminder notice: This is just a little friendly reminder that your data files need to be backed up regularly.

Bug Fixes

Report Fixes

  • Changed the labels on the column headers for ALL reports exported to file format CSV. Now the names make more sense.
  • Fixed the Claim Entry Report CSV export to include the Notes when selected. Only 250 characters can be displayed however. That is the limit of the report writer.
  • Fixed Payment Report by "Type" to ignore capitalization. For example, if there was a type of payment named'Cash' and another type named 'cash' (in lower case letters), they would appear as two separate types and the totals for each would be different. Now they appear together.
  • Fixed Payment Report by single patient name to correctly filter data on specific selected dates.
  • Fixed Procedure Report to correctly report percentages less than .05%. Now there are two decimal places to more accurately report the true percentage.
  • Fixed Payments Report for one patient to really do the one selected patient and not everyone.
  • Fixed Outstanding Balances Report to adjust for account numbers having varied lengths. For example, if there was an account number of 0601 and an account number of 060199, the the shorter account number displayed the wrong name. It is always a good idea to keep account numbers the same length and standardized for simplicity. For more information on account numbers, click here.

Other Fixes

  • "Mark With" box defaults to X: This was not working properly before. The box now defaults to using an X for the global setting. If a previous claim has something other than X it stays the same, but if it was blank, it will default to X.
  • Box 1a and Box 11 were updated to hold 33 characters for those who need the extra room.
  • Fixed error creating electronic claims and box 9d. In certain situations, the primary payer name from box 11d also printed in box 9d when it wasn't supposed to.
  • Fixed error creating electronic claims and box 31. When there is a long name, it now wraps to the next line instead of cutting it off.
  • Fixed duplicate claim entry problem. There was a specific pathway which allowed the ability to create a duplicate claim number.
  • No longer will uninstalling the TRIAL version cause you to lose your data. Now there is only one version. You "activate" your software by entering your unique serial number received in your sales receipt.
  • Widened the main screen even more to help see longer patient names better.
  • Fixed "Diagnosis/Charges" Summary screen. Sometimes during the editing process, if you followed a specific pathway, the summary did not correctly display the information on the 1-6 tabs, until you closed the window or navigated away from the screen.
